Definitions and Procedures for Volunteers



A visitor is a person who has legitimate school business to transact, such as a conference with a staff member, and whose conduct is not disruptive or disturbing to the normal operation of the school. Visitors may include, but are not limited to, parents, community members, and agency representatives.

A volunteer is twenty-one years of age or older, unless they are the parent of a child in the classroom. A volunteer provides services for the Calvert County Public School System without receiving monetary compensation.

A mentor is a volunteer who works with student(s) providing advice and support for vocational and educational outcomes.

All chaperones are volunteers and must complete the Online Volunteer Application. No individual may accompany a CCPS field trip who is not an approved volunteer.

Visitors and volunteers will sign in at the KeepnTrack kiosk located on a computer in the main office. A visitor and/or volunteer will scan his or her driver’s license or other approved ID using the KeepnTrack screening system. KeepnTrack will compare information from visitors and volunteers against the National Sex Offender Registry. If there is no problem, a badge will print. If a question would arise, Calvert County Public Schools procedures will be followed.

All visitors and/or volunteers will be required to wear the badge while on the school site. When a visitor and/or volunteer is ready to leave, he or she must sign out and dispose of the badge as directed.

All volunteers will need to complete an Online Volunteer Application before they may begin service as a volunteer in any school or schools. If completing an application online is not possible, paper applications are available in all schools. Applications must be submitted after the prospective volunteer has completed all parts of the application process. A signature will be required on all paper applications.

Applications will be treated as confidential information and access to applications will be restricted only to administrators and/or their designees.

Before a volunteer’s application can be completed, he or she must:

  • Complete online training
  • Fill-in all required areas on the application
  • Agree to abide by the requirements outlined in the volunteer application Fill-in all required areas on the application

  • Submit the completed application electronically

Online Application Submission:
Once a volunteer applicant submits the application online, you will get an immediate notification on your screen and an email that you have been approved. If you do not get an immediate approval verification email, your application may be pending for some reason. Please contact the school site to research your application status.

Paper Application Submission:
Volunteer applications may take up to two weeks to be processed and receive notification of the status.
